Job description
Hi there! 👋 At Bits Orchestra, we’re looking for an Office Manager who’ll make our office a place everyone wants to come to every day.
Bits Orchestra is a Ukrainian IT company specializing in web solutions development.
This role is perfect for someone who loves keeping things in order, has an eye for detail, and genuinely enjoys when everything runs smoothly — from lunch deliveries to team outings.
We’re looking for a versatile Office Manager / Executive Assistant who can juggle administrative tasks, support recruiting (bonus points for sourcing experience!), and keep the daily operations on track.
📍 Location: Ukraine, Zymna Voda (office visits twice a week are required) 💼 Format: Full-time, office/hybrid 💸 Salary: $400 — $700 📈 Experience: No experience required, but training in recruitment is a big plus
Requirements
- English: Intermediate level (B1)
- Excellent organizational and time management skills
- Easily build rapport with different people
- Proficiency with basic tools: Google Suite, MS Office, and office equipment
- Ability to multitask and work under pressure
- Strong organizational skills, attention to detail, and high accuracy
Responsibilities
- Take care of our office — making sure it’s always a cozy, convenient, and very pleasant place to work
- Manage company merch and small things that boost mood and create a feeling of care
- Handle administrative tasks: ordering lunches, keeping the team informed, and being that reliable person everyone counts on — even in the chaos of deadlines
- Organize celebrations, team buildings, workshops, and just cool gatherings for the team
- Assist top management: booking tickets and hotels, helping organize trips and meetings
- Manage office budgets and expenses, collaborate with finance teams for approvals and cost optimization
- Build and maintain relationships with vendors: signing contracts, handling office supplies, services, and maintenance
- Identify and implement strategies to improve office efficiency, optimize processes, and streamline workflow
In addition to the above, you’ll be a reliable partner working closely with:
- HR department: You’ll be a key support system, helping with onboarding and candidate sourcing
- CEO: Assisting with various administrative responsibilities
Would be a plus: Completed courses in recruitment or sourcing
