    Serve Freight is a U.S.-based freight brokerage (currently a 10-person team comprised of 4 individuals in the U.S. and 6 in Ukraine), a startup entering its second year.     About the Role

    We’re looking for a highly organized, detail-oriented Executive Assistant to act as the CEO’s strategic right hand. You’ll work closely with the founder to help manage daily operations, prioritize projects, and move the business forward clearly and efficiently.

    This is not a typical admin role — it’s a chance to play a core part in a startup’s growth, with exposure to leadership, strategy, and cross-functional decision-making.

    Key Responsibilities

    CEO Support & Strategic Operations

    • Manage the CEO’s inbox, calendar, priorities, and communications
    • Help drive projects forward by tracking tasks, deadlines, and next steps
    • Prepare agendas, take meeting notes, and ensure timely follow-ups
    • Draft clear, professional communications on behalf of the CEO
    • Assist with hiring, research, vendor sourcing, and other key initiatives
    • Assist with sales, marketing, and branding initiatives.

    Logistics & Admin Support

    • Assist with quoting, booking, and shipment tracking as needed
    • Ensure our systems (Turvo, Hubspot, Notion, etc.) stay updated and organized
    • Communicate clearly with team members, partners, and customers
    • Learn and improve internal SOPs alongside the operations team

    Team Collaboration & Growth

    • Work closely with the CEO and team to support evolving business priorities
    • Identify inefficiencies or bottlenecks — and suggest solutions
    • Take initiative to learn and improve — this role will grow as you grow

    What We’re Looking For

    • Experience in the U.S. market (for at least one year), or a strong understanding of the U.S.
    • A strong/compelling reason why working for the U.S. market is desirable/meaningful
    • Based in Ukraine (or originally from Ukraine) with strong English fluency (written and spoken)
    • Proven experience as an Executive Assistant, Operations Assistant, Chief of Staff, or Project Coordinator
    • Excellent communication, organization, and time management skills
    • Tech-savvy — comfortable with tools like Office365, Front.com, Slack, Monday.com (or an alternative), etc.
    • Self-starter who thrives in a fast-moving, high-trust, remote work culture
    • Detail-oriented, dependable, and calm under pressure
    • Bonus: experience in logistics, startups, or supporting U.S.-based executives
