We are international business advisory company, providing Business Support Services to companies all over the world. Personal Assistant (German and/or English)

Based in our office in Schytomyr/Житомир or remote work, the role is to provide operational and administrative support. The role is varied, deadline-driven, and demands exceptional time management and attention to details. This position also encompasses defining full potential, as well as owning full service delivery within the agreed scopes and will suit an intelligent and ambitious individual who is interested in developing a career within the administrative sphere.

Key Tasks and Responsibilities

  • Manage diary and schedule meetings and appointments, follow up on clients, sales leads or personal contacts
  • Act as a first point of contact: dealing with correspondence and phone calls based on client instruction
  • Respond to emails and inquiries, follow up with past clients and provide additional support where required
  • Manage databases and filing systems — organize documents, enter data, filter messages, follow up with clients
  • Typing, compiling and preparing reports, presentations, proposals and correspondence
  • Take over research tasks. Compile contact lists, conduct a competitive analysis, compile a list of relevant articles, research vendor quotes and much more
  • Provide general marketing support
  • Make travel arrangements

  • Able to deal appropriately with highly-confidential information

  • Outstanding organization, prioritization and time management skills
  • Able to be proactive — work on own initiative
  • Meticulous attention to detail
  • Strong customer service skills

Qualifications

  • Fluent English and/or German
  • Bachelor’s degree in Business Administration, Communications, or related field from an accredited college or university; or equivalent professional experience
  • Minimum of two years solid experience in administrative field
  • High level proficiency in Microsoft Office — PowerPoint, Excel, Word.
  • Experience of working in a demanding environment
