Job description

Medical Teams International Calling:

Medical Teams International holds strict child and vulnerable adult safeguarding principles and a zero-tolerance policy for misconduct related to sexual harassment, exploitation and abuse in the workplace and other places where the organization’s activities are rendered. Parallel to technical competence, recruitment & selection, hiring decisions will give due emphasis to assessing candidates' eligibility thorough background checks, police clearance, and professional reference check processes.

JOB SUMMARY

Responsible for executing administrative, HR and legal related tasks related to MTI and donor HR policies and regulations at the regional level.

JOB RESPONSIBILITIES

  • Establish and maintain employee records in online/digital filling system and paper files;
  • Manage the recruitment process at a country level
  • Support in payroll preparation by providing relevant data such as timesheets, absences, termination, new appointments, annual leave, and sick leave in collaboration with Finance for timely payment of staff.
  • Coordinate, track, and facilitate all employee leaves.
  • Facilitate onboarding processes to ensure all new staff are informed of MTI policies and benefits, job duties and equipped with the tools to perform their job.
  • Data entry and tracking of human resource information to Enterprise Resource Planning system and Human Resource Information System.
  • Support staff health and safety through ensuring insurance enrollment forms are completed, injury claims are processed, and safety incidents are reported.
  • Liaise with other support managers and response leadership to handle disciplinary action and conflict management according to MTI policy.
  • Ensure staff are informed of and adhere to MTI Code of Conduct, PSEA policy and other HR policies and procedures by providing trainings
  • Support supervisors in the performance management process by advising in resolving employee issues, creating, and implementing plans for staff development
  • Collaborate with MTI Human Response Business Partner to complete the MTI Ukraine Employee Staff Handbook
  • Coordinate the employee exit process when an employee terminates
  • Complete all monthly, quarterly, and annual donor reports and HR Summary reports as required
  • Support health program management staff to maintain quality service provision
  • Ensure front office services are handled professionally.
  • When relevant, develop the capacity of Deputy InCharge/HR Focal Persons
  • Ensure direct reports have clear objectives, receive mentorship, and participate in capacity building opportunities
  • Conduct performance evaluations and enforce disciplinary procedures as per MTI policy
  • Other duties as assigned

EDUCATION, LICENSES, & CERTIFICATIONS

  • Bachelor’s Degree in Human Resource Management, Industrial and Organizational Psychology or equivalent is required

EXPERIENCE

  • Minimum 2 years of HR generalist experience
  • Experience working with humanitarian INGOs is an added advantage
  • Experience in HR operations for health care context is an added advantage

KNOWLEDGE

  • Knowledge of HR functions including pay & benefits, recruitment, onboarding and offboarding, and staff development
  • Basic knowledge of Ukrainian labor laws
  • Basic knowledge of ERP database system
  • Understanding of humanitarian health response to crisis is an added advantage

ABILITIES

  • Ability to prioritize tasks to meet deadlines
  • Ability to be flexible and manage stress, especially in situations which require a high degree of sensitivity, tact, and diplomacy
  • Ability to be honest and foster an atmosphere of trust and integrity
  • Ability to hold staff accountable to work responsibilities, MTI protocol and ethical standards
  • Ability to maintain detailed records with high accuracy
  • Ability to maintain confidentiality of highly sensitive information
