Job description

TONIMOOD is recruiting an Executive / Business Assistant on behalf of our partner — the founder of an international business who is developing multiple projects in the United States and launching a new venture focused on AI solutions and business automation.

We are not looking for a traditional assistant who simply completes assigned tasks. We are looking for someone who can become a trusted right hand to the founder, take ownership of responsibilities, quickly adapt to new environments, and actively contribute to the growth of the business.

This role is ideal for someone who enjoys structure, can manage large amounts of information, is interested in modern technologies, and wants to grow alongside an ambitious project during a period of active expansion.

Key Responsibilities

  • Manage and prioritize multiple email inboxes.
  • Identify urgent and important communications requiring action.
  • Coordinate calendars, meetings, business travel, and accommodation arrangements.
  • Conduct market, competitor, and industry research.
  • Assist with candidate sourcing, screening, and recruitment processes.
  • Attend meetings, prepare structured notes, and follow up on action items.
  • Work with HubSpot CRM and other business tools.
  • Support the implementation of AI tools and workflow automation solutions.
  • Identify opportunities to improve internal processes and business operations.
  • Take initiative, solve problems independently, and proactively suggest improvements.

Ideal Candidate

  • Highly organized and self-motivated.
  • Strong attention to detail and accountability.
  • Quick learner who can easily understand new information and business contexts.
  • English proficiency at B2-С1 level or higher.
  • Experience working with international or US-based companies is a strong advantage.
  • At least 1.5 years of continuous employment with the same company.
  • Ability to work independently with minimal supervision.
  • Experience using AI tools such as ChatGPT, Claude, or similar platforms.

Nice to Have

  • Previous experience as an Executive Assistant, Business Assistant, or Operations Coordinator.
  • Experience with HubSpot CRM.
  • Recruitment or talent acquisition experience.
  • Experience working with startups or fast-growing businesses.

Working Schedule

This role offers a flexible working schedule with the ability to independently manage and organize most daily responsibilities.

The majority of tasks can be completed during your preferred working hours. However, regular availability for communication, collaboration, and alignment with the founder is essential during evening hours.

Typically, this involves approximately 3−4 hours of overlap with the founder’s working schedule (California, USA), while the remaining working hours can be managed idependently throughout the day.

During certain project phases or business-critical periods, additional overlap with US business hours may occasionally be required.
