Job description

Terms: Full-time

About the role: The Driver Qualification Specialist is responsible for managing and maintaining the driver qualification and pre-employment screening process from application through approval and orientation. This position ensures that driver applications, Motor Vehicle Records (MVR), PSP records, CDL information, employment documentation, and other required records are accurately reviewed, documented, and processed in accordance with company requirements and applicable regulations.

Essential Duties and Responsibilities:

Application & Lead Processing

  • Review driver applications received through Tenstreet (10st) and transfer required information into the designated processing spreadsheet.
  • Create and maintain driver leads in the appropriate system.
  • Review applications for completeness and accuracy.
  • Compare application information against available driver records and identify discrepancies.
  • Review the driver’s employment and CDL history to verify required experience.
  • Document all findings, missing information, and required actions in the driver’s lead.

MVR & PSP Processing

  • Order PSP (Pre-Employment Screening Program) records for applicants.
  • Add drivers to the MVR portal and order Motor Vehicle Records (MVRs).
  • Review MVR and PSP records for relevant violations, accidents, suspensions, and other information affecting driver qualifications.
  • Send MVR results via email according to the established process.
  • Add clear and detailed notes based on MVR and PSP findings.
  • Identify any additional CDL records from other states and order the applicable records.
  • Document findings from additional state records in the driver’s lead.
  • Ensure all required records are properly matched to the correct driver.

Driver Qualification Review

  • Match information provided on the application with MVR, PSP, CDL, and other available records.
  • Verify driving experience and identify discrepancies or missing information.
  • Compare physical driver documents with records available in the system.
  • Identify all outstanding requirements that must be completed before the driver can be approved.
  • Clearly document what needs to be corrected, provided, or verified.
  • Share outstanding requirements and relevant notes with the assigned recruiter.
  • Update the processing spreadsheet with the current status and outstanding items.

Driver Approval & Processing

  • Move qualified drivers through the appropriate processing stages.
  • Once all qualification requirements are completed and the driver is approved, update all applicable stages to Approved.
  • Order PEV (Previous Employer Verification) and criminal background records as required.
  • Monitor drivers who were not immediately approved and review updated information when provided by the recruiter.
  • Re-check and crossmatch updated documentation and records.
  • Confirm that all requirements have been completed before moving the driver to the Approved stage.

Division Transfers

When a driver transfers between company divisions:

  • Create a new driver lead for the new division.
  • Transfer all required documents from the previous lead to the new lead.
  • Request the required new records.
  • Review and document all applicable information.
  • Process the driver under the requirements of the new division.
  • Request PEV and criminal records as required.
  • Ensure all requirements are completed before approving the driver.

Orientation & Final Documentation

For drivers attending orientation:

  • Review and update the driver’s application as required by applicable regulations and company requirements.
  • Request required driver signatures.
  • Request and review the required 7-day log.
  • Verify that required documentation is complete and properly maintained.
  • Ensure any outstanding documentation or corrections are addressed before final approval.

Application Corrections

  • Review G2G emails for issues identified with driver applications.
  • Correct application information when required.
  • Follow up on missing or inaccurate information.
  • Ensure corrected information is properly documented and reflected in the driver’s records.

Communication & Coordination

  • Work closely with Driver Recruiters to communicate missing documentation, discrepancies, and outstanding qualification requirements.
  • Provide recruiters with clear instructions regarding what is needed to move a driver forward.
  • Maintain accurate and timely updates in processing spreadsheets and driver leads.
  • Communicate with potential qualification concerns to the appropriate department or manager.
  • Follow up on outstanding items to prevent unnecessary delays in driver processing.

Candidate Requirements:

  • Previous experience in driver qualification, driver processing, recruiting, safety, compliance, or transportation administration preferred.
  • Experience working with MVR, PSP, CDL records, PEV, Tenstreet, or similar transportation systems is strongly preferred.
  • Previous experience in a trucking or transportation company is a plus.
  • Ability to identify discrepancies between applications and official records.
  • Ability to follow established procedures consistently.
