Fleet Assistant

Position Overview:

ATC Family Transport Inc. is seeking a responsible, detail-oriented, and organized Fleet Assistant to support our Fleet Manager in overseeing daily operations. This fully remote position involves coordinating truck maintenance and breakdowns, monitoring fleet systems, analyzing expenses, and ensuring all fleet-related data is accurately recorded.

Key Responsibilities:

🔧 Cargo Securement Monitoring:

• Monitor driver Telegram chats to ensure proper securement of flatbed and step-deck loads

• Immediately notify Fleet Manager of any issues

🚨 Breakdown & Parts Coordination:

• Contact 3−5 vendors or repair shops during breakdowns to find the most efficient, cost-effective solution

• Clearly document quotes and provide timely updates to Fleet Manager

📊 System Monitoring (Samsara):

• Manage Samsara alerts for fault codes and dash cam events

• Promptly report critical alerts to Fleet Manager

📋 Reporting & Data Entry:

• Complete weekly fleet reports (truck/trailer status, maintenance costs, repairs)

• Enter all related data into our TMS (Data Truck)

📞 Driver Support:

• Communicate with drivers and dispatchers via Telegram

• Escalate any urgent matters immediately

⛽ Expense Tracking & Analysis:

• Review weekly fuel and toll reports

• Highlight inefficiencies and suggest improvements

📦 Inventory Management:

• Conduct monthly audits of flatbed/step-deck equipment

• Maintain accurate inventory records

🛠 Vendor Coordination:

• Source and negotiate with vendors for fleet equipment (e.g., tires, chains, headache racks)

• Oversee purchasing and maintain vendor relationships

Requirements:

• Strong organizational and communication skills

• Comfortable handling multiple tasks and coordinating remotely

• Confident making vendor calls and negotiating

• Familiar with (or quick to learn) Samsara, TMS, Google Sheets, Excel

• Experience with Telegram and remote collaboration tools

• Fleet or logistics experience preferred, but not required

Working Conditions:

• 100% Remote | Outsourced | Schedule 7 am till 5 pm US time (Central time)

• Communication via Telegram, Zoom, and email

• Stable internet connection is a must
