Organisation Background

Founded in 2011, the International NGO Safety Organisation (INSO) is an international NGO that supports humanitarian aid workers by establishing safety coordination platforms in insecure contexts. INSO provides registered NGOs with a range of free services, including real-time incident tracking, analytical reports, safety-related data and mapping, crisis management support, staff orientations, and training.

INSO provides daily support to more than 1200 NGOs operating in 18 of the world’s most insecure countries.

INSO is registered in the Netherlands, with its headquarters based in The Hague, the international city of peace and justice.

INSO Ukraine

INSO Ukraine opened in 2015. Since the full-scale Russian invasion in February 2022, it has rapidly expanded to a complete platform serving the needs of NGOs in a fast-evolving conflict. Currently, more than 250 national and international NGOs receive INSO services, in both Ukrainian and English, including information, analysis and advice through a wide range of written products, meetings and briefings, tailored assessments, crisis support, and a broad range of training courses. Our country office is in Kyiv, supported by field offices in Lviv, Dnipro, and Odesa.

In mid-2023, INSO opened a Humanitarian Training Centre close to Lviv City, delivering immersive HEIST courses and conducting pioneering research on stress exposure and learning for humanitarians. The scale and intensity of the conflict in Ukraine continue to pose significant humanitarian safety challenges, particularly around heavily contested frontline areas where the humanitarian footprint has expanded since 2023. As part of INSO Ukraine, you will play a key role in supporting NGOs and helping aid reach people in need in a safer manner, while at the same time being part of a vibrant and growing humanitarian community bringing together experiences from across the globe. 

INSO is now seeking an experienced professional to join our team as a Training Assistant based in Kyiv.

Job Summary

As a Training Assistant, you will contribute to the planning, organization, delivery, and evaluation of training courses, to assist both national and international NGOs in organizational safety and crisis management, as well as personal risk mitigation and humanitarian access.

To be a successful candidate, you need to have solid communication skills, preferably in the NGO sector, and be outgoing, inquisitive, and detail-oriented. Specific experience in contributing to the deployment of training courses is an advantage. You will, above all else, share INSO’s commitment to humanitarian principles.

This position is open to Ukrainian nationals only, reports to the Training Manager, and is based in Kyiv, with regular travel to Odesa, Mykolaiv, Dnipro, and possibly other cities where INSO may deliver training courses in the future.

MAIN DUTIES AND RESPONSIBILITIES

Administrative management of the Department and the training.

  • Ensure internal and external communication (email, phone) of the Training Team on all issues related to the administration of training sessions.
  • Prepare the training calendar and manage invites using MS Forms or CustomerVoice.
  • Follow up on registrations (communicate with participants and organise digital information).

Assist in the implementation of training.

  • Assist trainers in the preparation of the necessary material for the delivery of the training sessions.
  • Contribute to the development of visuals / PowerPoint under the supervision of trainers.
  • Assist trainers during the delivery, including logistical coordination.

Quality monitoring of training

  • Participate in the collection of information from INSO partners on the quality and impact of training (correction and compilation of pre-and post-tests, implementation, and processing of the online survey after each training, collection of testimonials from participants).
  • Contribute to the draft reports in English.

PERSON SPECIFICATION

Knowledge, Skills and Experience

Essential:

  • Fluency in Ukrainian and English (written and spoken).
  • Experience in communicating with clients or beneficiaries in a client-oriented fashion.
  • Experience in coordinating among a large number of people.
  • Graduate-level education in a relevant field or equivalent work experience.
  • Excellent computer skills: Microsoft Office, including PowerPoint and Excel.
  • Strong commitment to humanitarian principles and values.
  • Ability to excel in a multicultural work environment.

Nice to Have:

  • Experience in administrative or event planning positions.
  • Experience in the NGO sector.
  • · Experience in facilitating or organizing training courses.

Terms & Conditions

Official Employment Contract with a 3-month probationary period with an expected starting date of 05 June 2024, UAH 59,000 Gross salary. The position also comes with a private insurance package and two days of annual leave per month.
