Location: Remote (Ukraine) ‍Industry: HVAC (Heating, Ventilation & Air Conditioning) ‍Employment Type: Full-time (Contract) ‍Working Hours: 6 days per week, 45−60 hours per week, availability to work during U.S. Pacific Time (PT) business hours.

Our client is a Florida-based HVAC company specializing in heating, ventilation, and air conditioning services. We are looking for a proactive and detail-oriented HVAC Operations Coordinator to join a growing team supporting HVAC and construction-related operations across South Florida, US. This is a highly dynamic role that combines customer communication, scheduling, operational coordination, permit administration, and CRM management. The ideal candidate enjoys working with people, thrives in a fast-paced environment, and is eager to grow into a leadership position in the future. New hires will undergo a structured onboarding and training program during their initial six months.

Responsibilities

  • Communicate with customers via phone, email, and messaging platforms;
  • Coordinate and manage technician schedules and service appointments;
  • Support day-to-day operational activities and workflow management;
  • Work within Housecall Pro CRM to maintain accurate records and job information;
  • Assist with permit-related processes and documentation;
  • Coordinate with internal teams, technicians, vendors, and customers;
  • Monitor ongoing projects and ensure timely follow-up on outstanding items;
  • Resolve customer inquiries and support issue resolution;
  • Maintain organized documentation and operational records;
  • Contribute to process improvements and operational efficiency initiatives.

Requirements

  • Previous experience in construction, HVAC, building materials, home services, or a related industry;
  • Experience working with customers and handling phone communication;
  • Strong organizational skills;
  • High level of accountability and execution;
  • Ability to work effectively in a fast-paced environment;
  • Stress-resistant and comfortable managing multiple priorities;
  • Proactive mindset and willingness to take ownership of tasks;
  • Fluent English is required.
