Organisation Background
Founded in 2011, the International NGO Safety Organisation (INSO) is an international NGO that supports humanitarian aid workers by establishing safety coordination platforms in insecure contexts. INSO provides registered NGOs with a range of free services, including real-time incident tracking, analytical reports, safety-related data and mapping, crisis management support, staff orientations, and training.
INSO provides daily support to more than 1200 NGOs operating in 19 of the world’s most insecure countries.
INSO is registered in the Netherlands, with its headquarters based in The Hague, the international city of peace and justice.
INSO Ukraine
INSO Ukraine opened in 2015. Since the full-scale Russian invasion in February 2022, it has rapidly expanded to a complete platform serving the needs of NGOs in a fast-evolving conflict. Currently, more than 380 national and international NGOs receive INSO services, in both Ukrainian and English, including information, analysis and advice through a wide range of written products, meetings and briefings, tailored assessments, crisis support, and a broad range of training courses. Our country office is in Kyiv, supported by field offices in Kharkiv, Dnipro, and Odesa.
INSO is now seeking an experienced professional to join our team as Reporting Officer.
Job Summary
Under the direct supervision of the Country Director, the Reporting Officer is responsible for facilitating the coordination of high-quality and timely inputs for donor reports, assisting with grant management and communications tasks, including the collection of success stories, and acting as a focal point for the consolidation of indicators and means of verification at the country level. This position will work closely with colleagues at headquarters, including Grants, MEAL, and Communications Focal Points. The successful candidate will have excellent communication and writing skills in English and Ukrainian, the ability to prioritise competing tasks, initiative and attention to detail.
The Reporting Officer position is an interesting, multidisciplinary role that offers a unique opportunity to work in a close-knit team supporting safety and access in the NGO community.
As a part of the recruitment process, shortlisted candidates may be required to complete a technical assessment designed to evaluate the skills and competencies required for this role.
MAIN DUTIES AND RESPONSIBILITIES
- Track donor reporting dates according to the contractual obligations of INSO, and ensure timely communication of internal and external reporting deadlines with the field programme staff
- Consolidate and draft donor reports, proposals, and modifications to be approved by the Country Director.
- Serve as the country-level focal point for donor reporting coordination with the HQ Grants Management team, ensuring timely exchange of information, alignment on donor requirements and deadlines, quality control of reporting inputs, and consistent application of organisational reporting standards
- Regularly collect potential impact stories through interaction with the field programme staff and partners for both internal and external audiences, sharing regularly with the HQ Communications Officer.
- Act as brand ambassador for the country office, guiding colleagues on donor and INSO visibility as well as brand application
- Facilitate content collection activities such as photoshoots and interviews, including administrative assistance and in-country coordination
- Maintain an indicator tracker (including donor and organizational outputs, outcomes, and impact indicators) and store means of verification, and support the country programme team with archiving, data cleaning, and basic analysis of progress against targets
- Work with the country management team for grant opening, review, and close-out meetings, archiving the minutes of meetings and circulating action points
- Support the country director for archiving contract-related documents and internal materials
Mandatory Requirements
- Bachelor’s degree in political science, International Relations, or a relevant social sciences discipline.
- Excellent writing, reading, and speaking skills in English and Ukrainian
- Advanced knowledge of MS Office applications, including Word, Excel, PowerPoint, SharePoint and other tools
- 2−3 years of work experience, preferably with an NGO
- Systematic, proactive, innovative, self-motivated and detail-oriented
Preferred Requirements
- Familiarity with the Donor Requirements, including but not limited DG ECHO, SIDA, FCDO, etc.
- Previous experience in grants, MEAL or communication departments
- Understanding of the work and nature of NGOs

Terms & Conditions
Official Employment Contract with a 3-month probationary period with an expected starting date 03 August 2026, UAH88 250 Gross salary.
