    Опис вакансії

    Medical Secretary/Administrative Assistant Context: Medical secretary/ Administrative Assistant to UK based private medical doctors. You will be working remotely with one or two private sector doctor clinics based in the UK to help them manage their patient communication, bookings, and payment collection from patients.

    Who we are: Inicio Medical is an entity set up to assist medical doctors in all the support functions they need in order to run their private clinics more smoothly. The company has already started operations in Greece for more than 3 years now supporting UK doctors. InicioMedical is looking to start another hub of operations in Ukraine.

    Skills and Qualifications:

    • Fluency in English.
    • Excellent communication skills (verbal and written).
    • Multitasking and adaptability to a fast-paced environment.
    • Great attention to detail.
    • High accuracy in work.
    • Fast learner as you will need to familiarise yourself with new software and different hospital systems.

    Experience/ Requirements:

    • English C1-C2 level (Please do not apply if your English is not to this levels).
    • A year of office experience is preferable.
    • Higher Education Degree is preferable.

    Employment specifics:

    • 3 months consultancy contract to start with, with a view to converting this to full time employment if job performance is good.
    • Working hours will follow UK working hours and week i.e. Monday to Friday, UK office hours 9 am- 5 pm.

    Next steps:

    • A standardized test link will be sent to shortlisted candidates.
    • For the candidates who pass the test, a virtual fit interview will be conducted.
    • Once the fit interview is passed, we will contract directly with you for a period of 3 months, with potential to extend longer should both parties be satisfied.
    • Note: we will fund your purchase of a work laptop and headset (or provide you with a stipend for the laptop in case you have an existing laptop you can work with).
    • There will be an induction and training carried out by the team in Greece virtually in order to ensure you are ready to assume the secretarial obligations.

    Medical Secretary Duties:

    • Provide support with clerical and administrative duties.
    • Point of contact for patients, consultant, hospital, referrals, insurance companies • Handling incoming and outgoing calls and emails
    • Make appointments, bookings, admissions and raise the required paperwork.
    • Correspondence and medical reporting using digital audio software.
    • Establishing and maintaining easily accessible and secure filing and administrative systems
    • Using practice management and/or hospital systems to maintain and update records and internal databases.
    • Using a variety of software packages (including Microsoft Office, Google workspace) to manage data and produce documents and presentations.

    Debt collector duties:

    • Keep tract of finances.
    • Raise invoices and reconcile them when payment is received.
    • Chase unpaid invoices via email/phone, etc.
    • Resolve financial issues
    • Create and maintain financial reports for consultants
    • Liaise with secretaries, hospitals and insurance companies for financial issues.
