EMERGENCY is an international non-governmental organization founded in Italy in 1994. EMERGENCY provides free, high-quality care to people affected by conflict and poverty and has treated over 12 million people in 20 countries and currently operates in Afghanistan, Iraq, Italy, Sierra Leone, Sudan, Uganda, Gaza, Ukraine and in the Mediterranean Sea.
SCOPE OF THE POSITION:
Assisting and cooperating with the Responsible of the Administration in all day to day administrative transactions ensuring that all the documentations are properly filled out and archived. She/He is in charge of the translation of all the administrative documents and papers, facilitating the communication among all the staff and with the external actors (suppliers, banks, authorities).
DUTIES AND RESPONSIBILITIES:
Administration Officer’s duties and responsibilitiesinclude but are not limited to:
- Translating letters, official documents and relevant administrative paper (invoices/receipts/suppliers' documents/contracts etc.)
- Register receipts/ invoices according to the organization accounting system and Work Instructions.
- Ensuring that all administrative documents, invoices and contracts are complete and properly archived according to EMERGENCY’s and Donor’s guidelines;
- Support in management of accounting and administrative documentation for grant reporting purposes, therefore verification of justifications, archiving, scanning.
- Assisting the International Admin in preparing and submitting reports and documents according to EMERGENCY’s and Donor’s guidelines;
- Supporting in the collection, archiving and scanning of HR documents, payroll registration and other useful tasks for the management of local personnel.
- Assisting the International Admin in managing the working relationships with the suppliers with regard to contracts and invoices.
- Mediating with Ukrainian officials and relevant authorities and Banks regarding administrative issues in support to EMERGENCY International Administrator and/or Program Coordinator.
- All the activities necessary for the success of the project.
Requirements:
- Fluent English (spoken and written);
- Good Computer Skills, including Microsoft Office Program (Excel, Word, Outlook)
- Ability to work according to the schedule and to meet deadlines;
- Precision, confidentiality and professional integrity are essential;
- Accounting background and basic accounting knowledge strongly preferred;
- Availability to move.
- Ability to work in a team, respect and collaborate with all the colleagues
