Seeton is a Ukrainian system integrator with over 20 years of experience, offices in Ukraine and Azerbaijan, and partnerships with leading global vendors.

As we continue to expand our operational activities, we are looking for an Administrative & Operations Assistant who will provide clear administrative and organizational support to management and teams, helping to structure information, materials, and daily workflows.

This role is well suited for a Middle-level candidate who feels comfortable working in a dynamic environment, actively uses English in professional tasks, and is able to structure information clearly and present it in professional presentations.

The role is focused on administrative and operational support: organizing processes, coordination, and high-quality execution of daily tasks.

Key Responsibilities

Administrative & Operational Support

  • Organizing meetings, coordinating calendars, and preparing materials for meetings
  • Supporting day-to-day operational workflows of management and teams
  • Organizing business trips: bookings, logistics, and preparation of supporting documents
  • Coordinating office and administrative matters; liaising with contractors and service providers

Working with Information & Materials

  • Preparing PowerPoint presentations based on provided data and key points
  • Structuring information: meeting notes, concise summaries, and working materials
  • Working with internal documents and files; translating materials into Ukrainian and English
  • Maintaining internal materials and document archives

Communication & Coordination

  • Coordinating with internal teams on organizational and administrative matters
  • Supporting internal communications (announcements, informational updates, internal newsletters)
  • Handling ongoing administrative requests

Candidate Requirements

  • At least 2 years of experience in roles such as Administrative Assistant, Operations Assistant, Office Manager, or Corporate Assistant
  • Confident command of English (B2+) for daily professional use
  • Advanced PowerPoint skills (ability to create clear, structured, and professional presentations)
  • Strong organizational skills and ability to manage multiple tasks simultaneously
  • Confident user of MS Office (Word, Excel, Outlook, Teams)
  • Stress resilience, attention to detail, and a high level of responsibility
  • Experience working with confidential information

Would Be an Advantage

  • Experience working in an international or English-speaking environment
  • Experience preparing materials for management
  • Experience in an IT, technology, or project-based company
