Logistics Assistant/Driver
Terre des hommes is looking for a proactive, energetic, and organised Logistics Assistant/Driver, to join its team based in Kyiv, Ukraine (with the possibility of traveling between local offices), to support in the implementation of its projects. MAIN RESPONSIBILITIES
Logistics & Procurement Support
- Support procurement processes in line with Tdh guidelines.
- Collect quotations, assist with CBAs, and prepare procurement documentation.
- Follow up with suppliers and support long-term agreements for recurring purchases.
- Collect invoices and delivery documents and submit them to the Logistics Officer.
- Conduct basic market assessments for commonly used supplies.
Fleet Management & Driving (1 Vehicle)
- Manage and drive the Kyiv office vehicle.
- Ensure the vehicle has valid documentation (insurance, registration, inspection). encompassing local regulations.
- Perform daily vehicle checks and ensure regular servicing and maintenance.
- Manage travel requests, trip planning, and staff movement.
- Maintain vehicle logbooks and monitor fuel consumption.
- Ensure safe and secure parking of the vehicle at all times.
Stock & Asset Management
- Receive, check, store, and issue goods in line with approved procedures.
- Maintain accurate stock and inventory records. Report discrepancies.
- Ensure proper storage, FIFO/FEFO, and storage safety.
- Support loading, unloading, and movement of supplies and equipment, including manual handling of items weighing up to approximately 20 pounds (9 kg) when required.
Other Duties
- Support small local purchases and monthly logistics reporting.
- Support the overall functioning of the Kyiv office by coordinating timely maintenance and minor repairs of office premises, equipment, and utilities.
- Liaise with service providers, landlords, and technicians as needed and follow up on maintenance requests.
- Ensure office facilities are safe, functional, and adequately supplied.
- Assist with asset inventories, guesthouse support, and document/item delivery.
- Perform other tasks as assigned by the Logistics Officer & Logistics Manager.
YOUR PROFILE
- Diploma/Bachelor's in Logistics, Supply Chain, Business, or related field (preferred).
- Valid driving license
- At least 1 year' experience in Supply Chain. International NGO experience is an added advantage.
- Excellent spoken and technical writing ability in English & Ukranian, including report writing.
- Good knowledge of Ukrainian Laws.
- Excellent organizational skills and ability to prioritize;
- Proficient in MS Office, especially Excel (data entry, stock tracking sheets, formulas, pivot tables basic level).
- Demonstrated ability to work in multicultural, multidisciplinary environment.
