Work Schedule

  • Full-time, remote position
  • Hours: 17:00 PM — 1:00 AM Eastern European Time (EET), Monday-Friday

Position Summary

The Manager Assistant will provide remote administrative and operational support to the company manager, focusing on office tasks related to vehicle sales, vehicle purchases, collision repair, and parts management. The ideal candidate is fluent in English, highly computer literate, comfortable using AI tools, and has knowledge of cars and car parts.

Key Responsibilities

  • Assist the manager with day-to-day administrative and office tasks (email, calendar, document preparation, filing, data entry).
  • Create, edit, and organize documents, spreadsheets, and presentations using Microsoft Word, Excel, and PowerPoint.
  • Use AI tools to draft emails, summarize documents, prepare checklists, and support research and documentation tasks.
  • Help manage digital records related to vehicles, estimates, invoices, parts orders, and customer files.
  • Support communication with customers, vendors, and partners via email, chat, and occasional phone calls, as directed by the manager.
  • Assist in checking vehicle information, parts compatibility, and basic automotive data using online catalogs and databases.
  • Prioritize and handle multiple tasks at the same time while meeting deadlines and following manager instructions.
  • Provide regular updates to the manager on progress of assigned tasks and proactively flag issues or delays.

Required Qualifications

  • Fluent in English (speaking, reading, and writing).
  • Strong computer skills and ability to work 100% remotely.
  • Proficiency with Microsoft Office.
  • Practical experience using AI tools (e.g., AI chatbots, AI writing, AI-based search) or strong willingness and ability to learn quickly.
  • Very good knowledge of cars and car parts (basic understanding of makes, models, systems, and common components; collision/repair or parts desk experience is a strong plus).
  • Excellent organizational skills and attention to detail.
  • Strong multitasking ability and comfort working on several assignments at once.
  • Reliable high-speed internet connection and a quiet, professional workspace.

Preferred Experience (Nice to Have)

  • Previous experience as a virtual/remote assistant, office assistant, service advisor, parts counter, or similar administrative role.
  • Experience in automotive sales, service, collision repair, or parts departments.
