  • Excellent attention to detail with the ability to maintain a high level of accuracy.
  • Demonstration of the ability to work with tight deadlines.
  • Ability to deal with sensitive information with discretion and to maintain confidentiality at all times.
  • Excellent IT skills including working knowledge of word processing, spreadsheet and presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint, SAP.
  • English — Fluent


  • Welcome visitors warmly and make sure they are comfortable by making coffee/tea
  • Answer telephone calls, transfer calls to the appropriate person and take messages when required
  • Receiving and sorting daily mail/deliveries/couriers
  • Maintains security by following procedures; monitoring logbook; issuing visitor badges.
  • Order, monitor, stock and restock office cafeteria supplies and stationary
  • Provide administrative support for assigned departments and management including e-mail and telephone communication, mail distribution, and preparing and proof-reading correspondence, maintaining filing systems.
  • Full support in organization of business trips, followed by a proper reporting after.
  • Making travel arrangements, booking accommodation and processing claims for expenses.
  • Schedule meetings, appointments, and conferences including coordinating room arrangements, audio-visual and catering needs, preparing and distributing agendas and materials
  • Review, code and process invoices, payment requests, in collaboration with the Accounting departments.
  • Do admin report statistics. Prepare and submit routine and adhoc reports as requested.
  • Maintain a clean and safe reception area by effectively complying to company / facility procedures
