Back Office / Administrative, Logistics & Commercial Support — Slavuta
We are an internationally operating timber company with our head office in the Netherlands. For our service office in Slavuta, Ukraine, we are looking for a back office colleague who works accurately, communicates clearly and is able to keep a good overview of daily business.
Requirements
We are looking for someone who:
- Has strong administrative and organisational skills.
- Works accurately and follows up tasks in a timely manner.
- Has good IT skills and is comfortable working with ERP systems, Excel, e-mail and online communication tools.
- Speaks and writes English, Ukrainian and Russian.
- Is able to work independently and take responsibility.
- Preferably has experience or affinity with production, logistics, transport, procurement or timber-related activities.
- Is practical, proactive and not afraid to ask questions or chase information when needed.

You will mainly work from the office in Slavuta, although working from home can also be possible depending on the situation. Please note that your Ukrainian colleagues are usually in the office only about one day per week. This means that, although you will have a lot of contact by phone, e-mail and online meetings, you must also be comfortable working independently.
After a trial period, we offer cooperation via private entrepreneurship / FOP with a good salary and bonus system.
Responsibilities
In this role, you will be an important central contact point for our Ukrainian team. You will help to keep the total overview of daily operations, running orders, new orders, transport arrangements, supplier communication and commercial follow-up.
Your main responsibilities will include:
- Supporting one field / front office colleague in Ukraine.
- Coordinating administration and communication related to orders, suppliers and transport.
- Following up running and new orders.
- Arranging transport for ready loads.
- Requesting and comparing transport prices for different routes.
- Maintaining contact with suppliers, sawmills and transport companies in Ukraine and partly in the Baltics.
- Supporting commercial communication with suppliers, for example by following up repeat orders, checking availability, requesting prices and helping to secure good conditions.
- Communicating internally with colleagues in Ukraine, Belarus, Latvia and the Netherlands.
- Working accurately and timely in our ERP system.
- Keeping overview of short-term and long-term running issues.
- Asking for and coordinating backup support from our Belarusian back office when needed.
This position is suitable for someone who likes structure, responsibility and international communication, and who is able to work independently while staying closely connected with the team.
This is not a standard administrative job; you will play an important role in keeping our Ukrainian operations organised and moving.
