Security Assistant

Help — Hilfe zur Selbsthilfe: We are a non-profit, independent organization, which was founded during the war in Afghanistan in 1981 and is now active worldwide in 26 countries. Help provides rapid assistance in the event of disasters, sustainable reconstruction, and long-term development assistance for and with people in need, especially in Africa, Asia, and Europe. Help is currently providing emergency aid for victims in Ukraine. Along with its strong local partner organizations, it is active in sixteen oblasts, conducting humanitarian aid through WASH activities, medical/psychological support, housing support, and veterinary support.

• Duty Station: Representative Office Kyiv, Ukraine, with field support visits
• Reporting to: Security Manager
• Working hours: 40 hours/week
• Duration: Contract till the end of the year with an option to extend

Job Description:

• Assist the Security Manager in collecting, analyzing, and disseminating security information regarding the security situation in the country within the scope of his competence.
• Monitoring the latest events covered by international, national and local media and informing the Security Manager about the most important ones.
• Creating and maintaining a network of contacts (NGOs, embassies, public organizations, etc.).
• Liaising and maintaining permanent contacts with relevant local police authorities and security providers on security-related matters.
• Assisting to «Help» Security Manager in collecting, updating, and communicating information regarding the security situation, especially in the regions where Help works, in particular, information that can affect the work of Help.
• Maintaining routine and other correspondence files/documents and security-related reports (General Incident Reports).
• Assisting the Security Manager in ensuring office safety, fire safety, and security preparedness; conducting security surveys of residences and «Help» premises, recommending appropriate arrangements to secure them, and ensuring good state of all security equipment.
• Assisting the Security Manager in analyzing security-related information «Help» in their AoR; maintaining, updating, and drafting security-related documents, security risk assessments, security and contingency plans, instructions, and procedures as assigned in order to assist the security management.
• Assisting the safety manager in regular and special safety-related meetings.
• Assisting the «Help» Security Manager in ensuring that a Warden System is in place and keeping it timely updated.
• Assisting in conducting regular appropriate exercises/drills (such as fire and evacuation drills and communication tests) to ensure staff preparedness for eventual emergencies.
• Providing support to the Security Manager and the «Help» field teams in organizing and conducting training sessions and briefings on security awareness and preparedness, security orientation to newly assigned «Help» staff members, and conducting security briefings, as required.
• Supporting the «Help» field office personnel with security issues in the field and traveling to «Help» field offices as required.
• Ensuring that the appropriate level of confidentiality is maintained with regard to security matters.
• Assisting management in any arising security matters.
• Behalf of the Security Manager, provide critical security information to the team.

Vacation:

• Annual leave: 24 calendar days per year, 5 additional working days of annual leave for working in war conditions, plus public holidays in Ukraine. Location-dependent security and/or isolation adjustment is then applied to recognize that some staff are required to work in difficult places where living and working conditions are much more complex than elsewhere.
• Field trips: Are fully covered by the organization (including per diem, hosting, travel tickets, or driver with corporate car)
