The Role
We are looking for an Assistant to the Management in Lviv and Munich to support our leadership across three focus areas: Sales Support, HR and Special Projects. This is a hands-on, highly organized role for someone who enjoys making things run smoothly, communicating clearly, and getting important tasks over the finish line.
What You’ll Do
Sales Support
Maintain CRM data quality, and track pipeline activities
Prepare client-ready documents: presentations, proposals, quotes, and follow-up
Schedule web conferences/demos, coordinate travel and meeting logistics
Assist with RFI/RFP coordination and internal alignment with consulting and finance
HR (People Ops & Admin)
- Coordinate hiring steps: job postings, screening, interview scheduling, candidate communication
- Prepare offer letters, onboarding checklists, and personnel files; keep HR records compliant and up to date
- Act as the first point of contact for external HR questions and policies
Special Projects (Operations & Exec Support)
Drive ad-hoc initiatives from planning to execution (process improvements, vendor research, office operations)
Handle executive assistance tasks: calendar management, notes, action item follow-up
Ensure smooth information flow between Lviv and international teams (EU/US/Asia)
What You Bring
Languages: at least average English (written & spoken) required
Tools: Solid Excel/Word/PowerPoint skills; familiarity with CRM and collaboration tools (e.g., Teams/Slack/Zulip)
Strengths: Excellent organization and attention to detail, reliable follow-through, strong communication, discretion with sensitive data, proactive problem-solver
Work style: Self-organized, team-oriented, comfortable with deadlines and shifting priorities
