About the Role: We are looking for a highly organised, proactive, and trustworthy Personal Assistant (PA) to provide hands-on support to a Director/Founder. This is a key, people-facing role that goes beyond basic administration and requires strong judgment, excellent communication skills, and a high level of discretion.

You will act as a central point of contact, manage daily communications, coordinate the diary, and support decision-making by keeping things organised, moving, and under control. The role involves regular, direct communication with the Director and close collaboration on a daily basis.

Key Responsibilities:

  • Manage a busy inbox, prioritising messages and responding on behalf of the Director when appropriate
  • Coordinate diary and calendar, including scheduling meetings with multiple stakeholders
  • Act as a key point of contact for professionals such as schools, local authorities, clinicians, parents, and subcontractors
  • Chase responses, follow up on actions, and ensure tasks are completed in a timely manner
  • Maintain clear systems for tracking correspondence, actions, and priorities
  • Handle sensitive and confidential information with care, discretion, and professionalism
  • Adapt quickly to changing priorities in a fast-paced environment

Key Skills & Competencies:

  • Excellent written communication skills and professional email etiquette
  • Strong organisation and time-management skills
  • Ability to prioritise, make sound judgment calls, and work proactively
  • High level of discretion and confidentiality
  • Confidence in communicating with a wide range of professionals
  • Ability to adapt to a dynamic, evolving workload

PA / Administrative Experience:

  • Previous experience supporting a Director, Founder, or senior leadership team
  • Proven experience managing a busy inbox and replying on behalf of someone else
  • Strong diary and calendar management experience
  • Experience coordinating meetings and multiple stakeholders
  • Comfortable chasing responses and keeping momentum on outstanding actions

Industry Experience (Desirable):

  • Experience in education, SEN, health, social care, or another people-focused organization is highly desirable
  • However, strong transferable PA experience is more important than sector-specific knowledge
  • Willingness to learn and an understanding of the sensitivity of the work are essential

Tools & Technical Skills:

  • Confident user of Google Workspace (Gmail, Calendar, Docs, Drive)
  • Experience managing shared inboxes and delegated email access
  • Ability to create and maintain clear tracking systems
  • Strong attention to detail, especially when handling sensitive or confidential information
