Business Administrator to CEO & COO

We are seeking a high-performing and proactive Business Administrator to serve as a strategic partner and «right hand» to the Owner/CEO and the Vice President of Operations (COO). Your role is to ensure the seamless execution of business processes and maximize the leadership team’s efficiency for strategic decision-making.

Key Responsibilities:

  • Operational Coordination: Managing complex calendars for the CEO and COO, prioritizing meetings, and ensuring schedule adherence.
  • Business Communication: Handling professional correspondence and negotiations in English with international partners and clients.
  • Analytical Support: Gathering data, preparing high-level presentations, reports, and briefs for board meetings and executive sessions.
  • Project Management: Monitoring the execution of executive directives across departments and ensuring all deadlines are met.
  • Meeting Management: Providing full support for business meetings (agenda preparation, taking minutes, and tracking follow-up actions).
  • Travel Support: Organizing complex international business travel and providing assistance during overseas trips as required.

Requirements:

  • English Proficiency: Advanced (C1/C2) level — fluent written and spoken communication.
  • Experience: 3−5+ years as a Business Assistant, Executive Assistant, or Project Manager within a corporate environment.
  • Technical Skills: Advanced proficiency in MS Office (Excel, PowerPoint), planning tools, and task management software.
  • Soft Skills: Exceptional diplomacy, ethics, multitasking abilities, and high stress tolerance.
  • Education: University degree (Economics, Management, or Linguistics preferred).
