What the role is about

This role is focused on supplier and customer data verification, administrative operations support, and maintaining accurate records across internal systems such as SAP. The work is process-driven and detail-oriented, rewarding consistency, organization, and clear professional communication.

Phone calls are part of the daily workflow for follow-up and verification purposes, but this is not a high-volume call-center environment.

Key Functions

  • Review supplier and customer records that require verification.
  • Conduct online research to find or confirm missing information.
  • Verify company details, including names, addresses, VAT numbers, and payment-related information.
  • Update and maintain records within SAP and other internal systems.
  • Communicate with suppliers and customers via email to request, verify, or confirm information.
  • Make occasional outbound calls when additional clarification or follow-up is required.
  • Assist with statement requests and help resolve missing information, mismatches, or discrepancies.
  • Identify and escalate potential duplicate payments, suspicious information, or data inconsistencies.
  • Maintain accurate, up-to-date records to support ongoing business operations.
  • Adhere to operational processes, policies, and documentation requirements.
  • Collaborate with colleagues and stakeholders to ensure information accuracy and process efficiency.
  • Use initiative to investigate missing information and support continuous process improvement.

Required Experience / CharacteristicsExperience

  • At least 1 year of experience in operations support, administrative support, back-office operations, customer support operations, finance administration, data verification, CRM management, or database management.

English

  • B2+
  • Strong written English skills.
  • Comfortable participating in internal calls and occasional communication with suppliers and customers.

Technical Skills

  • Experience working with business systems, web-based platforms, CRM systems, or databases.
  • Confident user of Excel, email platforms, and online tools.
  • Ability to quickly learn new software and internal workflows.

Soft Skills

  • High attention to detail and accuracy.
  • Strong organizational skills and reliability.
  • Comfortable following structured processes and procedures.
  • Ability to perform repetitive administrative tasks with consistency and precision.
  • Proactive mindset and willingness to investigate and resolve missing information.
  • Strong communication skills and ability to collaborate effectively with different stakeholders.
  • Ability to prioritize multiple tasks and manage workload independently.

Location

  • Ukraine.

Working Schedule: Monday — Friday

Working Hours: 9:00 AM — 6:00 PM
