• Ensure adherence to internal controls and procedures, and compliance with Alinea’s financial management procedures and donors’ requirements;
• Assist with the achievement of financial objectives by anticipating requirements, submitting information for budget preparation, scheduling expenditures, monitoring costs, and analyzing variances;
• Provide financial data and input for budget control and program reports;
• Manage documentation and operations in relation to bank account;
• Manage the program field cash flows; ensuring adequate funds available for operations in Ukraine;
• Manage non-cash payments; ensuring adequate funds available for program operations in Ukraine;
• Ensure compliance of program field contracting and reporting with Ukrainian financial and taxation regulations;
• Oversight of program field accounting, procurement and financial systems in collaboration with Canada-based Controller;
• Preparation and submission (both online and offline) of timely consolidated program financial reports; including but not limited to: timesheets and invoices, vouchers, monthly ledgers summarizing all local expenditures, bank reconciliations, advance requests, cash counts;
• Support the program logistics and field operations (events, workshops, study tours, other activities offline and online);
• Supervise PROTECT Project Officer and IT Expert in managing their duties;
• Translate all receipts, invoices and any other appropriate documentation into English;
• Manage the project HR – recruitment, conducting interviews, administration system, including contract preparation, under the supervision of the Project Field Director, filing and facilitating personnel files, employment contracts, taxes, pension, severance;
• Manage and coordinate the procurement and control of office rental and supplies, rental equipment agreements and contracts, and executing inventory control.

• Review and ensure that all expenses are in accordance with approved budgets,
• donor regulations, and organization’s policies;

• Order furniture, equipment, supplies and maintain an inventory of office supplies; make sure that all procurement follows the procurement guidelines;
• Assist with the achievement of financial objectives by anticipating requirements, submitting information for budget preparation, scheduling expenditures, monitoring costs, and analyzing variances;
• Monitor local financial conditions, reporting on significant changes e.g. exchange rates, inflation, taxation that may affect the operations of the project;
• Participate in project planning, implementation, where possible – improve program and service quality by devising new applications, updating procedures;
• Support the program logistics and field operations (events, workshops, study tours, other activities offline and online) by managing related financial efforts; including but not limited to: ensuring relevant payments and reimbursements, managing appropriate documentation, receipts and records.
