Job description

Position

The GER3 Finance Assistant position is part of the GER3 Ukraine team. The Finance Assistant is designed specifically to support the Finance & Admin Officer and Ukraine Country Manager. The role involves assisting the Ukraine team with accounting, budget creation and tracking, preparation of appropriate documentation and financial reporting.

The Finance Assistant will work in Kyiv. It is expected that the person filling the position will work 5 days per week with varying hours each day. This position is to be filled initially for six (6) months, with a one (1)-month probationary period, with an extension likely throughout the duration of the GER3 Ukraine Response Program. The position will report to the GER3 Ukraine Country Manager based in Kyiv, Ukraine.

Responsibilities and Duties

  • Review invoices, payment requests, and supporting documentation to ensure completeness, accuracy, compliance with GER3 policies, donor requirements, and applicable regulations;
  • Prepare payment packages and financial vouchers, ensuring all supporting documentation is complete and properly filed;
  • Assist in processing and recording of financial transactions in the accounting system, maintaining accurate and organized financial records
  • Maintain financial files and ensure all accounting documentation is properly authorized, recorded, and archived;
  • Assist with bank, cash, and account reconciliations as assigned;
  • Monitor project budgets and expenditures and assist with budget tracking and revisions;
  • Assist in the preparation of financial reports, statements, and supporting documentation for internal and donor reporting;
  • Support program staff with travel-related documentation, expense settlements, and reimbursement processes;
  • Provide administrative and financial support to program and operations teams, including assistance with procurement documentation and asset management as required;
  • Support audits, financial spot checks, and reviews by preparing documentation and responding to information requests;
  • Perform other duties as assigned.

Specifics

  • This position will begin on the 1st of October, in support of GER3 Ukraine, for a probation period of one month based in Kyiv.
  • With proven success, it is intended for the Finance Assistant to, at minimum, continue through the full duration of the current Winterization project (March 2027) and beyond, dependent on funding and GER3 needs.
  • In the case where business travel is necessary, all reasonable expenses (housing, food, transport, communication) associated will becovered by GER3.
  • Compensation for this position will be $2,000 per month.

Required Qualifications

  • Intermediate to advanced English skills.
  • Strong attention to detail and accuracy in handling financial records and documentation.
  • Minimum 1 years of experience working in finance and administration.
  • Strong communication skills.
  • Based in Kyiv oblast with willingness to work in office 5 days per week.
  • Proven respect of others regardless of age, gender, economic status, cultural background, nationality, religion, political affiliation, race orsexuality.
  • Values consistent with the GER3 values including integrity, honesty, courage, acting in an honorable manner and respect of all others.
  • Ability to work in a contracted position.

Preferred Qualifications

  • Bachelor’s degree in finance, accounting or a related field is highly desirable.
  • Experience in humanitarian activity is highly desirable.
  • Proficiency in financial management software tools and platforms.
  • Familiarity with grant management and donor financial reporting requirements.
  • Smart and strong organizational skills, detail oriented with the ability to handle multiple priorities and tasks under tight time constraints.
  • «Can-Do», positive attitude and ability to overcome significant challenges by using problem-solving techniques, open-mindedness and adaptability.
  • Strong team, problem-solving and inter-personal skills.
  • A demonstrated high level of personal responsibility and self-motivation.
  • Demonstrated professional aptitude that includes, but is not limited to, being responsible, disciplined, adaptable, accountable, client-focused and having a strong work ethic.
