About APOPO:
APOPO is an award-winning Belgian NGO established in 1997 and currently operating in 10 countries. APOPO’s mission is to protect the people and the planet using scent detection animals. The organization trains and deploys dogs and rats in humanitarian missions such as the detection of explosives, diseases, illegal trafficking and search & rescue. APOPO currently has over 300 operational animals, most of which are working in Mine Action, which makes it the largest animal detection operator in the sector.
About APOPO in Ukraine:
Since the Russian invasion of 24th February 2022, Ukraine has been severely affected by landmines, cluster munitions and other explosive remnants of war. The scale of the conflict and the use of high impact and indiscriminate weapons requires an urgent and extensive response. APOPO aims to accelerate the reduction of suspected hazardous areas in Ukraine using its Technical Survey Dog Teams. APOPO registered in Ukraine in 2023 and has a main office in Kyiv and an established dog training centre in Krasylivka. Mine Action operations are conducted in partnership with Mines Advisory Group and Ukrainian Deminers Association, in Oblast areas prioritized by the government.
ABOUT THE ROLE:
The Location Coordinator will play a central role in ensuring the smooth operation and coordination of all activities at the DTC Krasylivka facility. This includes acting as the primary liaison between departments, managing facility usage and logistics, and supporting training and visitor coordination. The successful candidate will be organized, proactive, and capable of working closely with diverse teams to maintain high standards of efficiency and collaboration.
DUTIES AND RESPONSIBILITIES:
Operational Management
- Coordinate activities and maintain close communication with key kennel staff to ensure high animal welfare standards and operational efficiency.
- Oversee the daily maintenance and proper functioning of all APOPO facilities at the training centre.
- Ensure that the centre’s premises and grounds are clean, safe, operational and properly equipped for staff, trainees and visitors.
- Coordinate and monitor procurement processes and ensure timely follow-up with suppliers and the Logistics Department.
- Monitor stock levels, storage arrangements and the asset management system at the training centre.
- Ensure accurate records, transparency and responsible use of the organisation’s property.
- Maintain documentation and records related to all logistics processes, including requests for uniforms and equipment and records of stock movements.
- Ensure the proper storage, use and inventory control of equipment, materials and other operational resources.
- Act as the main contact person for logistics coordination at the location, ensuring effective communication between programme and support departments.
- Work closely with the Head Trainer to plan, prepare and provide operational support for all training activities at the centre.
- Ensure that training areas, equipment and animals are prepared and available for scheduled training activities.
- Organise and coordinate all visits to the training centre, including visits by delegations, partners, stakeholders and training observers.
- Schedule visits, welcome visitors and ensure that they receive a professional and informative experience.
- Oversee the booking, use, maintenance and proper condition of accommodation and shared facilities at the training centre.
- Ensure that the accommodation and facilities meet the needs of staff, trainees and visitors.
- Ensure the proper recording, management, inventory control and maintenance of the training centre’s equipment.
- Maintain clear and regular communication with all internal stakeholders.
- Prepare periodic reports on facility use, maintenance requirements and ongoing coordination activities. Reporting, Communication and Representation
- Ensure daily communication and coordination with the Senior Management Team.
- Organise meetings and briefings at the training centre.
- Prepare timely and detailed internal APOPO programme reports as instructed by the Programme Manager or Support Services Manager.
- Participate in the preparation of presentations, information materials and other documents for donors and partners.
- Represent APOPO when interacting with visitors to the training centre.
- Ensure that all relevant parties are kept informed about APOPO’s activities when appropriate. Information Management and Business Planning
- Provide relevant materials, case studies, photographs, information about events and media contacts in line with APOPO’s corporate profile, identity and key messages, as instructed by the Programme Manager or Support Services Manager.
- Participate in relevant management and programme development meetings for APOPO’s activities in Ukraine.
- Provide relevant information and recommendations to support the planning and improvement of the training centre’s operations and the organisation’s programmes. General Duties
- Work within the framework of APOPO’s core values and promote the organisation’s mission, principles and professional culture.
- Act as the Safeguarding Focal Point at the location and ensure compliance with the relevant policies and procedures.
- Promote a culture of safety and well-being for staff and service users.
- Monitor compliance with occupational health and safety, fire safety and other safety requirements at the training centre.
- Work towards achieving the objectives set out in the department’s operational plan.
- Keep informed about APOPO’s current activities and projects.
- Work as part of a team and cooperate with other departments to ensure effective communication throughout the organisation.
- Become familiar with and comply with all APOPO policies and procedures.
- Participate in relevant meetings, professional networks, seminars and conferences when beneficial to APOPO’s mission and activities.
- Perform other duties appropriate to the position that may be assigned by the manager according to the organisation’s operational needs. Candidate Requirements Education and Professional Experience
- University degree in administration, management, logistics or another related field.
- At least three years of proven experience in operational coordination, logistics, facility management or infrastructure management.
- Experience working for a non-governmental organisation or training facility will be an advantage.
- Practical experience in stock and asset management.
- Experience supporting procurement processes and working with suppliers.
- Experience maintaining logistics, warehouse and administrative documentation.
- Experience coordinating different teams, departments and external partners.
- Proficiency in Microsoft Office and general IT applications.
- A valid driving licence will be an advantage. Language Requirements
- Fluency in English is required.
- Fluency in Ukrainian is required.
- Knowledge of additional languages will be an advantage. Key Competencies
