The Wissenschaftskolleg zu Berlin e.V. — Institute for Advanced Study is a world-renowned Institute for Advanced Study that offers both internationally recognized and promising young scholars the opportunity to focus on a research project of their own choosing foran entire academic year free of any distracting obligations. The Wissenschaftskolleg is funded in equal parts by the German federal government and the Federal State of Berlin.
The Virtual Ukraine Institute for Advanced Study (VUIAS) was launched in the fall of 2023 by the Wissenschaftskolleg zu Berlin, in cooperation with renowned partners in Ukraine, Europe, and the USA. In its initial phase, VUIAS has been able to support over thirty Ukrainian scholars per year, both within Ukraine and abroad, while providing them with an intensive academic program. The Volkswagen Foundation has approved another three-year funding phase which allows the project to continue and evolve under wartime conditions and potentially in the post-war period as well. The long-term goal of this virtual project is the establishment of a permanent, physical institute based in Kyiv.
VUIAS is coordinated by a team of five staff members, of which two work in Berlin and three in Kyiv. Prof. Dr Viktoriya Sereda, Academic Director of the VUIAS in Berlin, leads the team in close cooperationwith the Coordinator in Kyiv.
The Wissenschaftskolleg zu Berlin calls for applications for an Administrative Manager (f/m/d) at the Kyiv office of the Virtual Ukraine Institute for Advanced Study (VUIAS) (Freelance, full-time, fixed-term until 30 Aug 2029)
The contract starts from 01 September 2026 and is remunerated with amonthly honorarium of 900 EUR. VUIAS cannot cover for taxes. Should Ukrainian taxes apply, they have to be deducted from the honorarium.
Your tasks include:
- General administration of the VUIAS in close cooperation with the VUIAS Berlin office (billing, budget controlling, organisational processes, internal communication)
- Reporting to local tax authorities
- Communication with local academic and governmental institutions
- Support for virtual and physical infrastructure of the VUIAS, i.e. Kyiv office and Social Media
- Planning of academic events hosted in Ukraine
- Preparing reports for funding bodies
Sound experience in book keeping for international projects, training in business and/or science administration is required as well as excellent verbal and written skills in Ukrainian and English.The position requires project management skills, which ideally have been acquired in the management of a previous international academic project or in an NGO context, as well as knowledge and general awareness of the requirements of basic EU regulations and security concepts. We also consider intellectual curiosity, conceptual thinking skills, a high degree of social skills, and aconfident demeanor to be essential. Experience in personnel management as well as knowledge of the Ukrainian academic landscape is a plus. As the institute is in the process of being established as a Ukrainian NGO, we value experience of working with NGOs. We are looking for a person who enjoys joint work and decision-making processes in international teams and working with digital mediatools.
