Position Type: Full-time

Contract Duration: One-year employment contract with the possibility of extension

Remuneration: 1,500−2,000 EUR gross monthly (commensurate with qualifications and experience)

Reports to: Head of the Branch

Position Overview

Central Project Management Agency (CPVA) is a governmental agency of Lithuania with more than 20 years of experience, an annual budget of 15 billion Euro and a professional team of about 700 employees working in project management and public investments.

The CPVA manage projects and programs and implement international development cooperation policies and function as Lithuania‘s international cooperation development agency.

Lithuania is a long-standing partner of Ukraine and currently the CPVA is managing a portfolio of more than 20 projects, funded by Lithuania, the European Union and other donors worth approximately 320 million Euro.

For better coordination of our work in Ukraine, the CPVA has opened its branch office in Kyiv in 2025 (hereinafter referred to as ‘the Branch'). We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to join our growing CPVA branch in Kyiv. In this role, you will be the backbone of our daily office operations, ensuring a smooth, efficient, and welcoming environment for our team, clients, and partners.

The ideal candidate is a master of multitasking, possesses excellent communication skills in both Ukrainian and English, and thrives in a dynamic international environment.

Key Responsibilities

  • Office Management: Oversee daily office operations, maintain office supplies inventory, coordinate with building management, and ensure a clean, organized, and fully functioning workspace.
  • Administrative Support: Assist management and team members with scheduling meetings, managing calendars, preparing documents, and handling correspondence. Assist in organizing internal team events, workshops, and client meetings. Act as the primary point of contact for incoming and outgoing official mail and packages. Regularly and timely deliver, submit, and retrieve official documents, letters, and packages between the branch office, local post offices, and the Ukrainian official entities. Maintain an accurate registry of all incoming/outgoing official correspondence, ensuring that deadlines for institutional replies are tracked and met.
  • Travel Coordination: Coordinate business travel arrangements and accommodation for team members and visiting guests. Organize comprehensive travel itineraries for team members and international guests traveling within Ukraine and abroad. Research, compare, and book optimal transportation (train tickets, flights, intercity transfers) and accommodations (hotels) while adhering to the CPVA travel policy and budget. Prepare official travel orders in accordance with local legislation and CPVA procedures; assist employees with travel expense reports and invoices for the finance departments — both Ukrainian and Lithuanian.
  • Financial & HR Assistance: Assist the finance/HR departments with basic documentation, tracking office expenses, processing invoices, etc. Maintain digital and physical filing systems, ensuring confidential data is handled securely.
  • Other duties: When needed, translate official documents, reports, presentations, and formal letters between English and Ukrainian, provide real-time, consecutive interpretation during internal meetings, calls, or when welcoming international guests and partners to the Kyiv office. Assist in the management of project registration. Participate in the implementation activities of CPVA projects as needed.

Requirements & Qualifications

  • Experience: Minimum 3 years of experience in an administrative, secretarial, or office support role (experience in an international company or branch office is an advantage).
  • Education: Bachelor’s degree in Business Administration, Communications, Languages, or a related field (or equivalent practical experience).
  • Language Skills: Fluent in Ukrainian and in English (both written and spoken).
  • Other skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Exceptional organizational and time-management skills. Strong interpersonal and communication abilities. A problem-solving mindset with high attention to detail. Ability to work independently and as part of a team.
