Chargeback, Transaction Monitoring Specialist (Fintech)

About the Company

PayProcc Financial Network OÜ is an Estonian payment technology company providing online payment solutions and POS terminals, with offices in the Netherlands and Estonia. We are currently developing our operations centre in Ukraine.

Your Mission

We are looking for a specialist to manage chargebacks and monitor transaction activity across our business clients.

You will handle disputed transactions, manage evidence submission deadlines, analyse transaction data, and identify potential risks in a timely manner.

This role involves daily work with data, strong attention to detail, and regular communication in English with business clients, acquiring banks, and payment partners.

Key Responsibilities

Chargebacks & Disputes

• Receive and process chargeback notifications from acquiring banks and payment partners.
• Maintain records of open cases and manage response deadlines.
• Communicate with business clients regarding disputed transactions and request the necessary documentation and evidence.
• Analyse chargeback reasons and reason codes to determine the evidence needed to challenge each dispute.
• Prepare well-supported rebuttals and evidence packages to contest chargebacks.
• Submit documentation to acquiring banks and payment partners and track dispute outcomes.
• Analyse the causes of chargebacks, identify recurring issues, and recommend ways to reduce them.

Transaction Monitoring

• Monitor business clients' transaction activity daily.
• Identify unusual transactions, sudden changes in payment volumes, and suspicious patterns.
• Analyse fraud, refund, declined payment, and chargeback metrics.
• Track negative trends and promptly alert the internal team to potential risks.
• Work with business clients, acquiring banks, and payment partners to clarify the circumstances of suspicious or disputed transactions.
• Support the internal team in investigating complex transaction cases.

Reporting & Analysis

• Prepare regular reports on chargebacks, dispute outcomes, and identified transaction risks.
• Maintain accurate, up-to-date records of cases, deadlines, supporting documentation, and outcomes.
• Analyse trends in chargebacks, fraudulent transactions, and other monitoring metrics.

Requirements

• Fluent English, both spoken and written, is essential. A significant part of daily communication and documentation is handled in English.
• Proficiency in Excel or Google Sheets.
• Strong analytical skills and the ability to work with large volumes of transaction data.
• Excellent attention to detail and a structured, organised approach to work.
• Ability to review documentation, identify inconsistencies, and communicate clear conclusions.
• Ability to manage multiple cases simultaneously and meet deadlines.
• A strong sense of responsibility and the ability to take ownership of issues through to resolution.

Nice to Have

• Experience preparing chargeback rebuttals and supporting evidence.
• Knowledge of Visa and Mastercard dispute rules.
