Project:
Multi-stage deployment of an enterprise OctaLIMS system across multiple manufacturing sites at Octapharma. This digital platform (OctaLIMS) is designed to optimize laboratory workflows in the quality department – documentation, product management, and sample monitoring.
As a project coordinator, I act as a point of contact for local sites and project stakeholders regarding communications and business requirements.
With my participation in the project, the following was developed and implemented:

- Updating the system to a new version with master data migration and validation testing.
- 4 independent project plans for each site.
- The structure of the project landing page, with sections and subsections in SharePoint, is where all project documentation is stored.
- The structure of the project domain groups with the distribution of functional responsibilities.
- A 3-year project roadmap indicating the functionality of the system.
- A task tracking system in MS Planner for 7 different boards, with the created Rules of Use.
- Reorganized meeting format to improve communication and decision-making.

Responsibilities:
- Create, track, and update the status of tasks and documents in corporate systems - MS Project, MS Planner, Planisware, ecdoc, DocuSign.
- Communicate with project managers on-site about the status of tasks in the project, collect and analyze functional requirements, and subsequent approval in the Competence Center.
- Coordinate and plan the project with intensive interaction with stakeholders.
- Conducted weekly status meetings and led MoM with site coordinators, core project team, and stakeholder approval meetings.
- Regularly inform and report to stakeholders on the status of current project activities and additional or extended project requirements.
- Communicate with internal teams regarding project expectations set for each team, with clear details, critical deadlines, and deliverables.
