Brief description of the open position:

Office Administrator is responsible for smooth functioning of Kyiv office and coordination of day-to-day operations in order to ensure organizational efficiency.

You will:

  • Be master of the office — make sure everything is well organized, clean, up to standard, as it would be your own home;
  • Ensure high quality of internal services provision, including responding to requests and concerns;
  • Coordinate the work of repair services, cleaning ladies, etc.;
  • Control the availability of the necessary goods for the stable operation of the office (kitchen supplies, household goods, stationery, first aid kit etc.);
  • Liaise with landlord on solving issues: heating and ventilation, lightening, guest parking, shuttle buses etc.;
  • Coordinate timely set up of working places for the new hires and business visitors;
  • Follow and improve standards and procedures for optimum utilization of office space and equipment /assets;
  • Monitor office plans/rearrange seating plans/adjust layouts including personnel relocation through the offices;
  • Provide regular office tours;
  • Assist Administrative Department in its daily operations and back up Reception when required;
  • Cooperate with other departments regarding company projects, policies and procedures;
  • Maintain a safe and secure work environment. Control fire and electricity safety rules compliance.

You have:

  • At least 2 years of experience on the same position, preferably in IT company;
  • Effective verbal and written communication and listening skills;
  • Upper-Intermediate English level;
  • Speed in delivering results, sense of urgency;
  • Ability to work independently;
  • Time and stress management skills, including ability to multi-task effectively;
  • Attention to details and high level of accuracy;
  • Result orientation;
  • Knowledge of MS office and office equipment.
