About the Role

We are looking for a responsible and proactive Fleet & Dispatch Support Specialist to support our Fleet and Dispatch teams during weekend shifts. You will help ensure the safe, efficient, and uninterrupted operation of our fleet by coordinating maintenance and repairs, monitoring vehicles and fleet systems, responding to driver and dispatcher requests, and providing operational support.

Requirements

• At least 1 year of hands-on experience in truck maintenance coordination and dispatch support.
• Experience coordinating repairs and maintenance for semi-trucks and trailers.
• Experience communicating with repair shops, technicians, roadside assistance providers, drivers, and dispatchers.
• English — B2 or higher.
• Experience with Fleetio, Motive, or similar fleet management systems is an advantage.
• Strong organizational and problem-solving skills.
• Ability to prioritize urgent maintenance and operational issues.
• Attention to detail and accuracy in records and reports.
• Ability to work independently during weekend shifts.

Responsibilities

Fleet Support

• Respond to maintenance and operational requests from drivers and Dispatch.
• Assess vehicle issues and coordinate repairs with shops, technicians, roadside assistance, and vendors.
• Monitor Motive for critical vehicle faults and maintenance alerts.
• Coordinate preventive maintenance (PM) when required.
• Monitor trucks and trailers in the yard and coordinate necessary service.
• Track repair status and follow up until issues are resolved.
• Maintain maintenance records and update information in Fleetio.
• Process shop invoices in Fleetio.
• Maintain the weekly fleet expenses tracker.

Dispatch Support

• Provide timely load and operational updates to Dispatchers.
• Provide status updates to brokers regarding loads, including pickup, delivery, delays, and other relevant changes.
• Monitor load progress and communicate important updates to the Dispatch team.
• Collect and provide necessary information and documentation related to loads.
• Send RODs (Rate/Records of Delivery) and other required load documents.
• Assist Dispatchers with operational issues related to active loads.
• Communicate with drivers to collect updates on their location, load status, pickup, and delivery.
• Ensure that required load information and documentation are shared with the appropriate parties in a timely manner.
• Prepare and update fleet and operational reports. Employment Conditions

• Remote work — fully remote position.
• Full-Time — 32 hours per week.
• Weekend schedule — Saturday & Sunday, 6:00 AM — 10:00 PM (Chicago time).
• Weekly pay — salary paid every week.
